Staying Organized | Client Folders

I love the idea of organization, but often times, I have a hard time executing it! However, over the past year and a half, I have been forced to stay organized and on top of things while juggling 30 brides, wedding, payments, contracts, etc. at a time! One way that has proven to be a lifesaver is individual client file folders (and you guessed it…they are gray)! Each folder has the couple’s names on it, and in each folder is their contract, payment plan, client expenses (to track all of our expenses affiliated with each couple – mileage, parking, gifts, etc) and their questionnaire (when we get that back from them). Not only does this keep things together in a central location for when we need to check on any information about our couples, but it also keeps everything organized so that come their wedding day, we can just grab their folder and know that we have all the information we need for the day!

These folders are Mike’s territory…he created the expense sheets for each folder, and he is the one that keeps all the payments and expenses up-to-date! We also keep the electronic copy of the client expense sheet up-to-date, but have found it necessary to have a hard copy as well. I am so thankful that he can bring his awesome excel skills to the business in this way!     This is a REALLY great post! I use a really similar system, but it’s cool seeing how other photographers do it! Right now, I only include contracts/payments/questionnaire in the folder… but I LOVE that you have a hard copy for your expenses! I’ve been trying to come up with a systematic way to take care of that… I don’t think I’ve gotten to the point yet where anything beats paper. I’d LOVE it if you’d forward along your excel workbook…. that would be super helpful!
